Internationally renowned architecture firm, Asymptote Architecture, seeks detail oriented Office Manager with upbeat demeanor
Description:
The Office Manager works under the supervision of the Executive Administrator overseeing the daily operations of a busy design studio.
Duties to include:
• Overseeing ordering of all office supplies
• Overseeing all office accounts (shipping, phones, ordering, trash pick-up etc.)
• Overseeing Health Insurance, 401k programs, and Transit Chek programs
• Overseeing Liability insurance policies
• Overseeing payroll in coordination with Accounts Manager
• Managing cleaning service, make sure cleaning supplies are stocked, ensure studio is cleaned to our standards
• Surveying office for maintenance issues daily
• Maintaining Office-wide calendar with project deadlines, staff travel, staff vacation, etc
• Overseeing general maintenance of office equipment (printers, fax machine, etc)
• Liaising with IT consultant for any phone/computer/network issues
• Maintaining inventory of all computer/technology equipment including warranties, receipts, additional technical support info in conjunction with IT consultant
• Overseeing off-site storage facility
• Overseeing New Hire/Intern orientation
• Coordinating hiring of interns with Executive Administrator
• Processing vacation requests and tracking vacation/sick time
• Processing staff travel requests and coordinate airfare, accommodations, etc.
• Assisting Executive Administrator in establishing and enforcing office policies
• Assisting with Receptionists duties as necessary
Software:
Mac OS/Windows proficient (required)
MS Office (required)
FileMaker Pro (preferred)
Adobe CS (preferred)
Experience:
Prior experience working in a creative environment is required, prefer someone who has worked at an architecture/design firm and/or art gallery.
